The Tenant Services Coordinator reports directly to the Portfolio Manager. This position assists the management team with daily operations for a portfolio of 1M square feet of prime office, R&D facilities, laboratory, and parking facilities. ESSENTIAL DUTIES AND RESPONSIBILITIES:
•Exceptional customer service •Responsible for day-to-day administration work orders •Key role in accounting, tenant billings, AR and AP •Assist with administration of vendor bids and contracts •Coordinate tenant and vendor Certificate of Insurance requirements •Coordinate afterhours work requests and deliveries •General office manager duties and periodic administrative support to GFS / GDS corporate team
•College degree •1 – 2 years office work experience (preferred) •Excellent written and verbal communications skills •Excellent Microsoft skills (Excel, Word, Outlook) and Adobe

Language Skills:Read and interpret English language documents such as office equipment maintenance and instruction manuals, Company procedure manuals, and business correspondence. Communicate orally with tenants and staff members.
Mathematical Skills:Calculate figures and amounts such as percentages, financial billing figures, budge-to-actual variances, etc. Must be able to apply basic math skills in creating an inputting to spreadsheets, evaluating contractor bills, etc.
Reasoning Ability:Apply sound judgment in carrying out instructions that may be received in either written, oral, or diagram form. Solve common business problems inherent in office administration activities. Juggle multiple priorities effectively. Keep confidential information confidential. The incumbent must be able to recognize when it is appropriate to escalate a situation to management’s attention for assistance with resolution.
Interpersonal Abilities:Exhibit excellent customer service orientations in responding to tenant requests. Display follow through in managing tenant issues and administering supervisory accountabilities. The Tenant Services Coordinator routinely represents Gateway Management to third-parties and must inspire confidence and demonstrate the ability to influence others through the strength of his or her own character and personal abilities. He or she may on occasion be required to deliver “bad news” to a tenant-why an area was not cleaned, for example. This must be accomplished with sensitivity to the tenant’s needs, but messages must be delivered clearly without misunderstandings. Additionally, incumbents must work effectively with senior executives, presenting information fully and willingly assisting with routine tasks.
